Office Manager

Vitamin World, one of the leading Retailers in the Health and Wellness Industry for the past 40 years, is hiring! We are seeking an Office Manager to join our expanding dynamic team in our new Beverly Hills, CA Office. If you believe you have the necessary qualifications to excel in this position, look no further than Vitamin World! The Office Manager will perform a variety of administrative tasks and support our company’s leadership. Responsibilities include managing calendars, making travel arrangements and translating communications. Provides high-level administrative support by conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
Responsibilities and Duties: - Prepare translations of documents, emails, and presentations between English and Mandarin ensuring the translations convey original meaning and tone
- Serve as an interpreter to facilitate communication between English and Mandarin speaking teammates
- Proofread translated texts for grammar, spelling and punctuation accuracy
- Follow up with internal team members to ensure translation meets their needs and intent
- Edit content with an eye toward maintaining its original format (e.g., font and structure)
- Work with business leaders to create and maintain business processes
- Copies, sorts, and files records related to office activities, business transactions, and other matters
- Prepares various documents, letters, memos, forms, and reports according to instructions
- Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail
- Operates office machines including copiers, scanners, phone and voicemail systems, computers, and other standard office equipment
- Responds to and resolves administrative inquiries and questions
- Make travel and accommodation arrangements
- Coordinates and schedules travel, meetings, and appointments for executives
- Prepares schedule for meetings, records and distributes minutes
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Format information for internal and external communication – memos, emails, presentations, reports
- Minor Accounting duties
- Performs other related duties as assigned
Qualifications: - High School degree or equivalent professional experience
- Work experience as an Office Manager, Executive Assistant, or similar role
- Excellent MS Office Suite knowledge (PowerPoint, Excel, Visio)
- Fosters a collaborative, cross-functional, data-driven, and growth-focused culture
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Proficient in Mandarin language- both written and verbal communication skills
Able to work evening hours as needed
The expected salary range for this position is $65,000 - $70,000 annually, based on experience.
