Office Manager

We are seeking an Office Manager to join our expanding dynamic team in our new Beverly Hills, CA Office. The Office Manager will perform a variety of administrative tasks and support our company’s leadership. Responsibilities include managing calendars, making travel arrangements and translating communications.  Provides high-level administrative support by conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.


 Responsibilities and Duties:

  • Prepare translations of documents, emails, and presentations between English and Mandarin ensuring the translations convey original meaning and tone
  • Serve as an interpreter to facilitate communication between English and Mandarin speaking teammates
  • Proofread translated texts for grammar, spelling and punctuation accuracy
  • Follow up with internal team members to ensure translation meets their needs and intent
  • Edit content with an eye toward maintaining its original format (e.g., font and structure)
  • Work with business leaders to create and maintain business processes 
  • Copies, sorts, and files records related to office activities, business transactions, and other matters
  • Prepares various documents, letters, memos, forms, and reports according to instructions
  • Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail
  • Operates office machines including copiers, scanners, phone and voicemail systems, computers, and other standard office equipment
  • Responds to and resolves administrative inquiries and questions
  • Make travel and accommodation arrangements
  • Coordinates and schedules travel, meetings, and appointments for executives
  • Prepares schedule for meetings, records and distributes minutes 
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Minor Accounting duties
  • Performs other related duties as assigned

 

Qualifications:

  • High School degree or equivalent professional experience
  • Work experience as an Office Manager, Executive Assistant, or similar role
  • Excellent MS Office Suite knowledge (PowerPoint, Excel, Visio)
  • Fosters a collaborative, cross-functional, data-driven, and growth-focused culture
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Proficient in Mandarin language- both written and verbal communication skills


Able to work evening hours as needed


The expected salary range for this position is $65,000 - $70,000 annually, based on experience.

• 准备会议日程、记录和分发会议记录
• 作为高管、员工、客户和其他外部合作伙伴之间的联络点
• 及时准确地管理信息
用电脑来计划处理内部和外部的交流——备忘录、电子邮件、演示文稿、报告
• 轻微的会计职责
•        履行分配的其他相关职责
资格:
• 高中学历或同等专业经验
• 有办公室经理、行政助理或类似职位的工作经验
• 出色的 MS Office 套件知识(PowerPoint、Excel、Visio)
• 促进协作,跨职能、以数据驱动和以增长为中心的文化
• 杰出的组织和时间管理能力
• 出色的口头和书面沟通能力
• 谨慎和保密
• 精通普通话——书面和口头沟通能力

能够根据需要在晚间工作

根据经验,该职位的预期薪资范围为每年 65,000 美元至 70,000 美元。
